Terms of Service

These Terms of Service (“Terms”) are an agreement between you and Avik Consultancy, Ahmedabad, Gujarat, India(“we”, “us”), which operates Clientflow (the “Service”). By creating an account or using the Service you agree to these Terms, our Privacy Policy, Acceptable Use Policy and Data Processing Addendum. If you use the Service for a business, you accept these Terms on behalf of that business.
These Terms are an electronic record under the Information Technology Act, 2000 and do not need a physical or digital signature.
1. Who can use Clientflow
- You must be at least 18 years old and able to enter into a binding contract under Indian law.
- Accounts are for running a business or profession. People who only book appointments do not need an account; their use of a booking page is covered by the Privacy Policy and by the business they book with.
- You must give accurate information and keep it up to date.
2. Your account
- Keep your password safe. You are responsible for everything done through your account.
- Tell us straight away at support@myclientflow.org if you think someone else has accessed it.
- Your booking link (for example avikclientflow.com/yourname) must not imitate another person, brand or business. We may reclaim a link that is misleading or infringes someone’s rights.
3. Plans, free trial and billing
- Current plans and prices are shown on our pricing page (Starter ₹999/month, Growth ₹1,499/month, Scale ₹3,999/month (coming soon)). Yearly billing is charged in advance and includes 2 months free compared with paying monthly.
- Free trial: the Growth plan comes with a 14-day free trial. A payment method is needed to start it. You will not be charged if you cancel before the trial ends; otherwise the plan starts and is charged automatically at the end of the trial. One trial per business.
- Founding member offer: the first 10 businesses that sign up through our Founding offer get the Growth plan free for 3 months from sign-up. No payment method is needed and nothing is charged automatically. When the period ends, the account moves to the Starter plan unless you choose a paid plan at the then-current price. One founding spot per business; the offer cannot be exchanged for cash and ends once all spots are taken. We may extend a founding period at our discretion.
- Renewal: paid plans renew automatically every month or year until you cancel. You authorise us and our payment partner to charge your saved payment method on each renewal date.
- Taxes: prices are in Indian Rupees (INR). Applicable taxes such as GST are added as shown at checkout and on your invoice.
- Price changes: we will give at least 30 days’ notice by email before a price change applies to your plan. The new price applies from your next renewal after the notice period.
- Failed payments: if a renewal payment fails, we will remind you and may move your account to the Starter plan or pause it after 7 days. Your data is not deleted because of a failed payment.
- Upgrades and downgrades: upgrades take effect immediately and the difference for the rest of the billing period is charged on a pro-rata basis. Downgrades take effect at the next renewal; features or limits of the higher plan stop at that point.
- Features marked “coming soon” are not part of a plan until they are released.
4. Cancellation and refunds
You can cancel at any time from Settings or by emailing us. Cancellation, refunds and how long refunds take are set out in our Refund & Cancellation Policy, which forms part of these Terms.
5. Your data and your clients
- You own the content and data you put into Clientflow, including your clients’ details (“Customer Data”). You give us permission to store and process it only to provide the Service to you, as described in the Data Processing Addendum.
- For your clients’ personal data you are the Data Fiduciary under the Digital Personal Data Protection Act, 2023. You are responsible for telling your clients how you use their data, getting any consent you need (including a parent’s or guardian’s consent for children), and only contacting clients in ways the law allows.
- Do not store more sensitive information (for example detailed medical or legal case notes, Aadhaar or card numbers) in Clientflow than you need. Notes are meant for short, practical reminders.
- You can export your data while your account is active and for 30 days after it is closed.
6. Bookings and payments between you and your clients
- The services you offer through your booking page are provided by you, not by us. We are not a party to the agreement between you and your clients, and we are not responsible for the quality, legality or delivery of your services.
- You decide your prices, your cancellation and refund rules for clients, and whether you accept online payments, cash or UPI at the visit.
- Online payments from your clients are processed by Razorpay under Razorpay’s own terms. Settlements, chargebacks and refunds to your clients are between you, your client and Razorpay. We do not hold your clients’ money.
7. Acceptable use
You must follow our Acceptable Use Policy. In particular, do not use Clientflow for anything illegal, to send spam or unsolicited promotional messages, or to try to access another business’s data.
8. AI-assisted features
AI drafts are suggestions. They can be inaccurate or unsuitable, so always read and edit them before sending. You are responsible for any message you send. AI drafts are not medical, legal, financial or other professional advice.
9. Third-party services
Some features rely on third parties such as Razorpay, Google Calendar, email and messaging providers. Their terms apply when you use them, and we are not responsible for their services. If a third party changes or stops its service, we may need to change or remove the related feature.
10. Availability, support and changes
- We work to keep Clientflow available at all times, but there may be interruptions for maintenance, updates or reasons outside our control. We do not guarantee uninterrupted or error-free service.
- Support is available by email and WhatsApp as described on our Contact page.
- We may improve or change features. If we remove a major feature you pay for, we will tell you in advance.
11. Our intellectual property
Clientflow, its software, design, logos and content belong to Avik Consultancy or its licensors. We give you a limited, non-exclusive, non-transferable right to use the Service during your subscription. You may not copy, resell, reverse-engineer or create a competing product from the Service. If you send us ideas or feedback, we may use them without any obligation to you.
12. Suspension and termination
- You can close your account at any time.
- We may suspend or close an account that breaks these Terms or the Acceptable Use Policy, puts other users or the Service at risk, or where the law requires us to. Where reasonable, we will warn you first and give you a chance to fix the problem.
- After closure you can export your data for 30 days. After that it is deleted as described in the Privacy Policy.
13. Disclaimers
Except as expressly stated in these Terms, the Service is provided “as is” and “as available”. To the extent the law allows, we do not give any other warranties, including fitness for a particular purpose. Clientflow is a scheduling and record-keeping tool; it does not replace your professional judgement or your own records required by law.
14. Limitation of liability
To the extent the law allows, we are not liable for indirect or consequential losses, such as loss of profits, revenue, goodwill or data that could have been backed up. Our total liability for any claims relating to the Service in any 12-month period is limited to the fees you paid us for the Service in those 12 months. Nothing in these Terms limits liability that cannot be limited under Indian law.
15. Indemnity
You agree to compensate us for reasonable losses and costs arising from claims by third parties (including your clients) that result from your services, your content, or your breach of these Terms or the law.
16. Governing law and disputes
These Terms are governed by the laws of India. Before going to court, please contact us so we can try to resolve the issue informally within 30 days. Courts at Ahmedabad, Gujarat have exclusive jurisdiction, subject to any rights you have under consumer protection law.
17. Changes to these Terms
We may update these Terms. For significant changes we will notify account holders by email or in the dashboard at least 15 days before they take effect. If you continue to use Clientflow after that, the new Terms apply; if you do not agree, you can cancel before they take effect.
